Privacy Policy
Effective date: 2 August 2026
This Privacy Policy explains how Ramón Aranha-Gericke, who currently provides services using the business name The Panama Explorer (“The Panama Explorer,” “we,” “us,” or “our”), collects, uses, stores, shares, and protects personal information.
The Panama Explorer is a business name used by Ramón Aranha-Gericke and is not currently a separate legal entity.
This policy is intended to explain our current data-handling practices clearly. It may be updated as the business, service providers, and applicable requirements develop.
Privacy questions and requests may be sent to info@thepanamaexplorer.com.
Scope
This policy applies to personal information collected through:
- thepanamaexplorer.com;
- inquiry, application, assessment, and contact forms;
- email, telephone, WhatsApp, video calls, and other correspondence;
- paid assessments, strategy engagements, memberships, trips, and implementation services;
- scheduling, payment, document, and client-management systems; and
- authorized exchanges with independent professional and service providers.
External websites and independent professionals have their own privacy practices. This policy does not govern how those third parties independently collect or process information.
Information we may collect
The information collected depends on how you interact with us and which services you request. We collect only information reasonably necessary for the service you request.
Identity and contact information may include your name, email address, telephone or WhatsApp number, country of residence, nationality or citizenship where relevant, preferred language, and other contact information you provide.
Planning and assessment information may include your goals, priorities, timeline, and constraints; relocation, retirement, second-base, business, or property plans; residency interests and document readiness; banking purpose and banking readiness; lifestyle, housing, location, family, and mobility requirements; healthcare and insurance considerations you voluntarily disclose; property interests; capital ranges and liquidity considerations; and professional support requirements.
Client engagement information may include assessment responses, application and intake information, correspondence and meeting notes, documents you choose to provide, reports and work products prepared for you, appointment and scheduling information, professional introduction records, and service, billing, and transaction records.
Website and technical information, depending on your cookie choices, may include IP address, browser and device information, pages viewed, referring website, approximate location derived from IP address, and cookie, analytics, and preference information. See our Cookie Policy for the specific cookies in use.
Payment information is processed by independent payment providers. We do not receive or store your complete payment-card number or card security code. We may retain payment confirmations, invoice information, transaction references, and payment status for accounting and service administration.
Sensitive information and documents
We collect only information reasonably relevant to the requested service. Assessments and intake forms are designed to ask screening questions and ranges rather than request source documents.
Please do not send passwords, card details, complete bank statements, passport copies, identity documents, medical records, or other highly sensitive documents through a general website form, an assessment upload, or ordinary email unless we have specifically requested them and identified an appropriate submission method. Where legal, banking, immigration, tax, insurance, or other professional documents are required, they should be provided directly to the relevant independent institution or licensed professional.
How we use personal information
We may use personal information to respond to inquiries and applications; determine whether a requested service appears appropriate; administer payments, scheduling, and client onboarding; deliver the Panama Fit Assessment, the Panama Strategy Blueprint, and other requested services; prepare founder-reviewed analysis, strategies, reports, and action plans; coordinate appointments and authorized professional introductions; maintain service, financial, and business records; improve our services and website; protect clients, the website, and our business from misuse or security threats; comply with applicable legal obligations; and send marketing communications where you have consented or where otherwise permitted by law.
We do not sell personal information.
Basis for processing
Depending on the circumstances and the laws applicable to the processing, personal information may be processed:
- with your consent;
- where necessary to respond to your inquiry or application;
- where necessary to enter into or perform an agreement with you;
- where necessary to comply with a legal obligation;
- where necessary to protect legitimate business, security, or legal interests; or
- where otherwise permitted by applicable law.
Where processing depends on consent, you may withdraw that consent. Withdrawal does not affect processing already undertaken lawfully.
Fit Assessment scoring and founder review
The Panama Fit Assessment may use a structured scoring framework to organize the information you provide. The score is a decision-support indicator and is not a prediction, guarantee, or legal, tax, immigration, financial, banking, medical, insurance, investment, valuation, or brokerage opinion. Assessment results are reviewed by Ramón before the final report is issued. Material recommendations are not made solely through automated processing.
Service providers
We may use independent, reputable providers for website hosting, website forms, email and communications, payment processing, scheduling and video conferencing, analytics and website performance, security, cloud storage and document processing, and accounting and professional support. These providers may process information only to the extent reasonably necessary to perform the relevant service, subject to their own terms and privacy policies. A current list of material technology providers may be requested by contacting us. We maintain a simple internal record of where client information is stored.
Independent professionals and professional handoffs
We may coordinate introductions to lawyers, accountants, tax advisers, banks, brokers, insurers, healthcare providers, inspectors, valuers, property managers, and other independent professionals. We do not provide your assessment responses, documents, financial information, or other client-specific information to an independent professional without your authorization, except where disclosure is required or otherwise permitted by law.
Before a material professional handoff, we will identify the intended recipient and the purpose of the proposed disclosure, and share only the information reasonably necessary for that purpose. Independent professionals and institutions are responsible for their own services, advice, security, and privacy practices once information is provided directly to them. You are not required to use professionals introduced by The Panama Explorer.
International processing and transfers
The Panama Explorer works with international clients and may use website, email, payment, scheduling, communications, analytics, security, and document providers located in different countries.
As a result, personal information may be processed or stored outside the country in which you live. Data-protection standards and access rights may differ between jurisdictions.
Where personal information is transferred internationally, we take reasonable steps to use reputable providers and appropriate arrangements intended to protect the information in accordance with applicable requirements.
Where a client requests cross-border coordination or an introduction to a professional or institution in another country, relevant information may need to be transferred to that country. Client-specific information will not be provided as part of a professional handoff without the client’s authorization, except where disclosure is required or otherwise permitted by law.
Cookies and website technologies
The website may use essential cookies required for security and website operation, preference cookies including language settings, analytics technologies used to understand website performance, and other non-essential technologies enabled only in accordance with available consent controls. Non-essential technologies are activated only after consent. You may adjust your choices through the website’s cookie banner and manage cookies through your browser. See our Cookie Policy for the full list of cookies in use, their purpose, and duration.
Marketing communications
We may send newsletters, publications, market updates, or other marketing communications where you have requested or consented to receive them. You may unsubscribe using the link included in the communication or by contacting info@thepanamaexplorer.com. Withdrawing from marketing does not prevent us from sending communications necessary to administer an inquiry, payment, or active engagement.
Information concerning other people
You may provide information about a spouse, partner, dependant, family member, adviser, or other person where relevant to your Panama planning. By providing another person’s information, you confirm that you are authorized to do so and, where required, have informed that person about the proposed use of their information.
Children
Our services are intended for adults. We do not knowingly solicit personal information directly from children. Family-related engagements may require limited information about dependent children, which should be provided only by a parent, guardian, or other appropriately authorized adult.
Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this policy. Unless a longer period is required by law or agreed with the client, our intended retention periods are:
- General inquiries that do not become engagements: up to 24 months after the last substantive communication.
- Applications that do not proceed: up to 24 months after the application decision or last communication.
- Fit Assessment responses and reports: up to 24 months after delivery.
- Client engagement files and work products: up to five years after completion of the engagement.
- Professional introduction and handoff records: up to five years after the relevant engagement.
- Payment, invoice, and accounting records: for the period required by applicable law.
- Marketing records: until consent is withdrawn or the contact has been inactive for 24 months.
- Website analytics and cookie information: according to the duration disclosed in the Cookie Policy.
Unsuccessful inquiries and old assessment files are deleted or anonymized according to this schedule.
Security
We use reasonable administrative and technical measures intended to protect personal information against unauthorized access, loss, misuse, or disclosure, including access controls, reputable service providers, secure payment processing, limited information sharing, and careful document-handling procedures. No website, email service, or storage system can be guaranteed completely secure. We ask clients to avoid sending highly sensitive documents through unsecured channels, and we design our intake processes to avoid requesting them in the first place.
Your rights
Depending on the laws applicable to you, you may have the right to request access to personal information held about you; information about its source, purpose, use, and recipients; correction of inaccurate or incomplete information; deletion or cancellation where applicable; restriction of or opposition to particular processing; portability where applicable; and withdrawal of consent.
Requests may be sent to info@thepanamaexplorer.com. We may take reasonable steps to verify your identity before acting on a request. Certain information may need to be retained where required by law or necessary for contractual or accounting records. We will respond within the period required by applicable law.
Questions and complaints
Please contact us first if you have a privacy question or concern so that we can review and address it. Depending on your location, you may also have the right to submit a complaint to the competent data-protection or privacy authority in the relevant jurisdiction. Nothing in this policy limits any rights available to you under applicable data-protection law.
External links
The website may contain links to independent websites, professionals, institutions, or service providers. We do not control their privacy practices. You should review the applicable privacy policy before providing personal information to an external party.
Changes to this policy
We may update this Privacy Policy to reflect changes in services, technology, providers, or applicable requirements. The revised policy will be published on this page with an updated effective date. If a separate legal entity is established and becomes responsible for The Panama Explorer’s services, this policy will be updated to identify that entity, and affected clients will receive notice where required.
